The lowest monthly price is useful only when its included users, locations, orders, and workflows match your operation.

Zoho’s free plan supports 50 orders, one user, and one location. Its Standard plan includes three users and two locations. Zoho’s paid add-ons cost ₹399 per extra user each month and ₹600 per extra location each month, billed annually.

TallyPrime Silver is a single-user plan. Its annual subscription is ₹8,100 per year plus GST, or ₹675 per month effective.

What Is Included in the Advertised Price?

Read a plan card as a capacity statement. A cheaper plan can contain enough features but still fail when your business exceeds its included users, warehouses, or order volume.

For example, Zoho Standard includes three users and two locations. A business that needs one more user and one more location has this subscription arithmetic:

  • Base plan: ₹999 × 12 = ₹11,988
  • One extra user: ₹399 × 12 = ₹4,788
  • One extra location: ₹600 × 12 = ₹7,200
  • Annual subscription before GST: ₹23,976
  • GST at 18%: ₹4,315.68
  • Subscription cash cost including GST: ₹28,291.68

That total still excludes scanner hardware, migration, training, and your team’s operating time.

Cin7 Core Standard includes five users, two ecommerce or app integrations, 6,000 sales orders each year, and unlimited inventory locations. Its pricing page also identifies additional integrations, premium support, APIs, and professional services as add-ons.

Which Hidden Costs Change Your Total Budget?

The hidden costs are not mysterious. They are work that somebody must perform, plus equipment that somebody must buy.

Implementation and migration: Ask who cleans item names, SKU codes, units of measure, opening balances, locations, open purchase orders, and batch records. Add that quote to the rollout section.

Integrations: List every system that must exchange data. Common examples include Tally, accounting software, Salesforce, marketplaces, ecommerce stores, shipping systems, and barcode hardware. A connector subscription and an integration project are separate budget lines.

Warehouse equipment: Budget for the scanner, charging dock, printer, labels, replacement units, and any mobile device that warehouse staff need. A platform that generates barcodes does not supply physical scanners.

Training and internal administration: Include time for supervisors to set permissions, investigate stock differences, approve adjustments, and run counts. Use loaded hourly cost, not only salary.

How to Compare Inventory Pricing Fairly

Compare two proposals only after you normalize seven items.

  1. Users: Count warehouse, purchasing, operations, and sales users who need access.
  2. Locations: Count warehouses, stores, godowns, and stock-holding sites separately.
  3. Order volume: Use your busiest expected month, not last month’s average.
  4. Workflow controls: Specify receiving, putaway, transfers, pick tickets, returns, and stock counts.
  5. Traceability: State whether you need lot, expiry, serial, bin, FIFO, or FEFO controls. FEFO means first-expiry, first-out.
  6. Integrations: Name every system that must stay in sync.
  7. Go-live scope: Define migration, training, support, hardware, and the internal owner.
